Data Storage Procedures

The overriding goal of Data Minimization is to share only the minimum amount of data necessary for the minimum amount of time to accomplish your goals. It is best practice to store data in a secure physical location and on limited access devices, and only made available to the necessary staff  needed to complete the project's purpose. The purpose of this checklist is to provide specific steps for your organization to take if it needs to share data with a third part—such as a contractor—to accomplish a project.

  • Establish a policy for data shared on workstation (including desktops and laptops) hard disk drives

  • Establish a policy for data on network servers

  • Establish a policy for optical discs (e.g., CDs, DVDs, Blu-Rays)

  • Backup tapes or backup media

  • Data storage on portable devices or media.
